Managing support email inboxes for growing businesses can be a tough situation. Chances are you won’t invest in a customer service function until you’ve reached a critical mass of complaints, and by then, the damage has been done.
However, on the flip side, if you invest too early in a customer service function, you’ll have a hanging overhead with unused capacity.
Scaling the customer service operation while costing it on a per-email basis sounds like the best solution, but who will work like that?
You don’t have time to write responses from scratch; auto-responders give non-answers, and even creating each prompt in ChatGPT is time-consuming and doesn’t scale well!
Let’s set up a solution with no-code that will help us set a foundation until we’re ready to hire a department (or even just a part-time manager that oversees this system!)
We are going to be using Zapier and OpenAI. The overhead is low, and the yearly savings are huge! The best part: you can set your budget per month.
Estimated Time:
This project will take around 20 minutes to set up, and variable time each day to review, edit and send emails each period of your choosing.
Estimated Savings:
This one is a bit tricky and wholly dependent on your business and level of inbounds.

Project Steps
While this project won’t take too long to complete, there are some steps we need to follow carefully! (NOTE: You must have a Business Gmail Account ex: person@company.com)
Create Zapier Account (it’s free to start!)
Create your first Zap by adding these 3 steps:
Next, click through each step to configure properly. (Note: you’ll need to set up an OpenAI account See how here. Stop at the part to get your Secret Key, that’s all we will need for now.) Set up your Usage in your OpenAI account to set a max budget per month.
Set up the OpenAI step using the default values and connect your account. You will be prompted to Copy and Paste your Secret Key here.
The Prompt - Custom design your prompt to fit your business. For best results, it is recommended to use this template as a general guide. (Warning: if your receiving email body is too large, you will hit the token limit, and no response will be generated)
Set up the final Gmail step. Add a signature; make sure to add the “To” section to be the sender email variable, and the “From” section is yourself.
Test it out! You can continuously refine this project to fit your business needs. My most significant shortfall with this no-code app is the lack of customization. For example, I’d like to add knowledge to custom-tailor responses to my product database.
